How It Works
Estimating how long a piece of text takes to read, based purely on its word count, turns out to be useful well beyond curiosity. Content creators, students, and anyone building a presentation can use it to keep an audience engaged rather than overwhelmed in 2026, when digital marketing analytics put the average attention span for fresh online content at roughly 8 seconds.
Two speeds drive the estimates. Reading time assumes an average of 200 words per minute for general English text, while speaking time uses a more measured 130 words per minute to allow for the pauses and pacing that come with delivering material aloud. Both figures are well-established standards and hold up as reliable approximations for most situations.
Treat the output as a guide rather than a stopwatch, since how fast someone reads swings widely with the difficulty of the text, how familiar they are with the topic, and their own habits. Leaving a buffer is wise, particularly before anything high-stakes. And note that speaking almost always takes longer than silent reading, so planning a talk around reading time is how presentations end up rushed or running long.
Example: Preparing a Q3 2026 Financial Report Summary
- 1 You have a 1,500-word executive summary for the Q3 2026 financial report that needs to be read by stakeholders and also presented to the board.
- 2 Reading Time: 1,500 words / 200 WPM = 7.5 minutes. Speaking Time: 1,500 words / 130 WPM = 11.54 minutes.
- 3 The executive summary will take approximately 7 minutes and 30 seconds to read. When presented aloud, it will take about 11 minutes and 32 seconds.
- 4 This means you should allocate at least 8 minutes for stakeholders to read the summary before a meeting. For the board presentation, you should plan for a 12-minute slot, allowing for natural delivery and brief pauses.
